Privacy notice

StaySynx is a directory of places to stay in South Africa and a service that passes a guest's request on to places that fit. It is run by Peak Software (Pty) Ltd (registration 2020/848211/07), the responsible party under the Protection of Personal Information Act, 2013 (POPIA). Questions or requests go to the Information Officer of Peak Software (Pty) Ltd at admin@peaksoftware.co.za.

What we collect

  • When you ask about dates (on this site, or through ChatGPT, Claude or another assistant connected to StaySynx): your name, mobile number, email if you give one, your dates, how many guests, the place or town you asked about and any note you add. We also keep the page it came from, your browser type, and a one-way scrambled form of your IP address that we use only to stop abuse.
  • When you list or claim a place: your name, contact details and what you tell us about the place.
  • Places in the directory: business details that places publish themselves: name, address, phone, email, website, what they offer and their stated rates. These come from OpenStreetMap, the place's own website and public tourism listings.
  • Our web server keeps standard logs (IP address, page, time) for security for up to 30 days. This site uses no analytics, advertising trackers or cookies.

Why we use it

  • To do what you asked: contact places that match your request and come back to you on WhatsApp, email or phone. We share your request only with places to stay that match it, and only because you ticked the box that lets us.
  • To send you a receipt of your request by email, if you gave one. We send nothing else unless you opted in.
  • WhatsApp specials only if you ticked that separate box. Reply STOP at any time and we remove you.
  • For places listed: to show accurate public details to guests and to pass on requests for that place. We contact a listed place by email at most once unless it asks to hear from us again.

Who else handles it

  • Places to stay that match your request, which then contact you directly.
  • Google Cloud (Firebase) stores our data in the Netherlands (europe-west4). This is a transfer outside South Africa under section 72 of POPIA, to a provider bound by data-protection law at least as protective as POPIA.
  • Resend sends our emails. WhatsApp (Meta) carries messages you exchange with us there.
  • If you use StaySynx through an AI assistant, what you ask and what we answer passes through that assistant's provider (for example OpenAI or Anthropic) under their own privacy terms.

We never sell personal information.

How long we keep it

  • Guest requests: 12 months after your dates, then deleted, unless you booked through a place and a dispute is open.
  • Owner and listing enquiries: while the listing is live, and 12 months after it is removed.
  • A place that asks to be removed is taken off the site within 7 days and never re-added from public sources.

Your rights

You may ask what we hold about you, ask us to correct or delete it, object to how we use it, or withdraw your consent at any time by emailing the Information Officer of Peak Software (Pty) Ltd at admin@peaksoftware.co.za. We answer within 30 days. You may also complain to the Information Regulator of South Africa: inforegulator.org.za.

Security

Data is stored encrypted by Google Cloud. Only our own servers can read it: the database refuses every direct request from a browser. Access is limited to the people who run StaySynx.
